The practical stuff

Terms & Conditions

These terms explain the general rules that apply when using our website, requesting services, or working with Systems for Small Business.

Effective Date: September 17, 2026

1. Agreement to These Terms

By accessing systemsforsmallbusiness.com, submitting a form, booking a consultation, purchasing a service, or otherwise engaging with Systems for Small Business ("SFSB," "we," "our," or "us"), you agree to these Terms and Conditions.

2. Our Services

SFSB helps small businesses improve the way work gets done. Services may include business systems strategy, process design, workflow improvement, automation, technology implementation, integrations, operational support, website or technology projects, and custom software when appropriate.

The specific scope, price, timeline, deliverables, and responsibilities for a paid engagement may be described in a proposal, invoice, statement of work, service agreement, or other written agreement.

If a separate written agreement conflicts with these general Terms, the specific written agreement will control for that engagement.

3. Business Health Reviews

A complimentary Business Health Review is intended to provide a practical discussion about a business's systems, workflows, technology, bottlenecks, or opportunities.

The review is not a guarantee that every business issue will be identified or resolved during the session, and it does not create an ongoing consulting relationship unless both parties separately agree to one.

4. No Guaranteed Results

Business results depend on many factors outside our control.

While SFSB may make recommendations intended to improve efficiency, visibility, operations, revenue processes, or business performance, we do not guarantee specific revenue, profit, cost savings, growth, customer retention, lead volume, or other business outcomes.

Examples and case studies describe specific situations and should not be interpreted as promises that another business will achieve the same result.

5. Client Responsibilities

Successful projects often depend on accurate information and timely participation from the client.

You agree to provide, when reasonably necessary:

  • Accurate business information
  • Timely feedback and approvals
  • Access to appropriate systems or authorized team members
  • Accurate data needed for implementation
  • Decisions or approvals necessary to complete the work

SFSB is not responsible for delays or inaccurate results caused by incomplete, inaccurate, outdated, or withheld information.

6. Technology and Third-Party Platforms

Some services may involve third-party platforms such as CRMs, website builders, scheduling software, automation platforms, cloud services, artificial intelligence tools, payment providers, advertising platforms, or other technology.

Third-party products are controlled by their respective providers. Features, pricing, availability, policies, integrations, and functionality may change without notice.

Unless specifically stated otherwise in writing, third-party subscriptions, licenses, advertising costs, hosting, domains, software fees, or platform fees are the client's responsibility.

7. Custom Software

Custom software projects may include discovery, workflow mapping, prototyping, configuration, development, testing, deployment, training, and ongoing support.

Custom software may require ongoing hosting, maintenance, updates, integrations, third-party services, or security management after the initial project is completed.

Specific ownership rights, licensing terms, access rights, maintenance responsibilities, and deliverables for a custom software project should be defined in the applicable project agreement.

8. Fees and Payment

Fees for paid services will be communicated before work begins through a proposal, invoice, agreement, checkout page, or other written communication.

Payment schedules, deposits, recurring fees, cancellation terms, and refund terms may vary depending on the service and will be stated in the applicable agreement or invoice.

Unless a written agreement states otherwise, fees already earned for work completed are non-refundable.

9. Confidential Information

During a project, either party may receive confidential or non-public business information belonging to the other.

Each party agrees to use reasonable care to protect confidential information and to use it only for legitimate purposes related to the engagement, except where disclosure is required by law.

10. Intellectual Property

SFSB retains ownership of its pre-existing methods, frameworks, processes, templates, tools, know-how, branding, reusable systems, and other intellectual property developed independently of a client's project.

Ownership of custom deliverables created specifically for a client will be governed by the applicable written project agreement.

Clients remain responsible for ensuring that materials they provide to SFSB may lawfully be used for the intended project.

11. Website Content

Content on this website is provided for general informational purposes. You may not reproduce, republish, distribute, or commercially exploit SFSB website content, branding, graphics, or proprietary materials without permission, except as allowed by law.

12. Professional Advice Disclaimer

SFSB provides business and technology support. Unless specifically agreed otherwise with a properly qualified professional, our services do not constitute legal, tax, accounting, investment, medical, or other licensed professional advice.

You should consult the appropriate qualified professional when making decisions requiring those specialties.

13. Limitation of Liability

To the fullest extent permitted by law, SFSB will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from use of our website, services, recommendations, software, or third-party platforms.

Any liability relating to a specific paid engagement may also be subject to limitations contained in the applicable service or project agreement.

14. External Links

Our website may link to websites or services operated by third parties. SFSB does not control those services and is not responsible for their content, policies, security, availability, or practices.

15. Privacy

Our collection and use of personal information is described in our Privacy Policy .

16. Governing Law

These Terms are governed by the laws of the State of Ohio, without regard to conflict-of-law principles, except where applicable law requires otherwise.

17. Changes to These Terms

We may update these Terms from time to time. The current version will be posted on this page with an updated effective date.
